Obviously you’re phenomenal at what you do. We already know that 💁🏼♀️
But sometimes the logistical, “business-y” stuff gets lost in the shuffle… and trust me, I GET IT. A lifetime of undiagnosed ADHD is literally WHY I am good at systems—because systems that are linear, inflexible, and don’t have room for me to explore a new idea or pivot are literally never going to work.
But just because those systems weren’t built for you, don’t mean that systems aren’t for you. You just need ones that automate out all the shit you procrastinate — the stuff that makes you not even want to look at your computer in the morning, need an extra cup of coffee to start, and takes you away from the work you love.
✨ responding to inquiries that come in when you’re out of office, working an event, or running around like a chicken with your head cut off (and then when you do respond, they ghost you or say “I didn’t hear from you so I found someone else” 🫠).
✨ putting together the perfect custom proposal and quote that somehow takes 4 hours to get just right, and now you feel like you’ve wasted a whole afternoon and they still email you 14 questions that are answered on your website.
✨ forgetting to schedule that timeline review meeting 30 days before the wedding and when your client reaches out about it, you calendar shows as full 🫠 (this may or may not have happened with my own wedding photographer for my wedding, and yes, I’ve been begging her to let me fix it)
✨ manually sending payment reminders because you looked at your CRM for the first time in a week and realized like 3 clients haven’t sent over their final payment 💀
✨ never asking for reviews for Google & The Knot/Wedding Wire because you feel super awkward asking (even though your clients definitely want to brag about you)
Inquiry responses that go out with a lil welcome packet so clients can get some of their burning questions answered? chefs kiss
Proposal templates for each service that are plug and play, so you aren’t recreating the wheel every time and you can literally send out the most beautifully branded proposal you’ve ever sent 5 MINUTES AFTER THE CALL? sign me tf up
An email that goes out with a specific scheduler that’s only for these calls, so they can find a time that works for them, and it just pops onto your calendar when it should?? mhm that’s the stuff that makes people feel like they are the center of your world
Automated payment reminders so those checks are hitting your bank account when they’re supposed to, and you’re not chasing down payments you should have received a month ago during busy season? ugh I LOVE not having to nag people because my systems do it for me
Automated review emails so you literally never have to feel awkward about hitting send again, and your 5-star google reviews start getting you organic traffic like you’ve literally never seen before?? and yes, you can cancel them if you have a problem child client
This is the number one thing I hear from creatives, especially in the age of ChatGPT emails that make me want to gauge my eyes out with a spoon.
But what makes automated emails different than AI-generated emails is that they’re exactly what you would have sent—they’re just not dependent on whether you’re available right at that moment to hit send. Because we all have a template in our heads for these scenarios—and if you don’t? We workshop that together based on past email copy to bring your voice front and center at every touchpoint.
